The Big Picture

Right now, Deal Pro's operations run across phone calls, paper logs, manual copy-paste, and disconnected tools. This system brings everything into one place — a single app that field workers, auction listers, and administrators all log into on their phones or tablets. Every pickup, every item, every mile, every customer interaction gets captured automatically, building the record base that drives better reporting, accountability, and growth.

01
Core Modules

Six purpose-built tools that work independently and connect into a unified system. Each solves a specific operational problem.

AI Intake

Item Intake & Analysis

Photo-based AI triage for items Mark approves for processing. Automatically identifies brand, condition, estimated value, and routes each item.

  • Camera capture on phone or iPad
  • AI identifies brand, name, condition
  • Routes to Auction, Parking Lot, or Donate
  • Generates auction listing title & description
  • Auto-assigns warehouse bay location
  • Unique barcode per item
Auction Queue

Team B Listing Queue

Reviewed items ready to post to AuctionWorx. Team B sees everything analyzed in the last 24–48 hours with AI-generated listing copy ready to copy.

  • Filtered view: Needs Posting / Posted
  • AI-generated title & description per item
  • One-tap photo download
  • Mark as Posted flag to clear queue
  • Future: direct API push to AuctionWorx
Field

Field Worker Log

Simple daily logging for pickup teams. Start of day to end of day — every stop, every mile, every gas fill-up tracked with minimal friction.

  • Start of day odometer + vehicle log
  • Planned stops with optimized route
  • One-tap check-in per stop (GPS auto-tagged)
  • Unplanned stop support (admin or worker adds)
  • Gas fill-up: gallons, cost, receipt photo
  • End of day submit with mileage auto-calculated
Admin

Admin Dashboard

Mark's command center. Full visibility into daily field operations, item flow, and compliance documentation.

  • Live map: field worker stops with pins
  • Planned vs. actual route comparison
  • Add stops to active worker routes
  • Daily mileage & gas cost summaries
  • Invoice tracking & filing deadlines
  • California compliance reporting
CRM

Customer & Recipient Management

Track everyone Deal Pro works with — donors, auction buyers, and repeat customers. Preferences, history, and logistics in one place.

  • Contact types: Donor, Customer, Recipient
  • Delivery fee & will-call preferences
  • Item needs & request tracking
  • Interaction history per contact
Future

AuctionWorx API Integration

When ready, eliminate manual copy-paste entirely. Listings push directly from the intake system to AuctionWorx with one tap.

  • RainWorx Web API (Create/Update Listings)
  • Photos upload automatically
  • Team B queue becomes one-tap publish
  • Full listing history in-system
02
Roles & Access

One app, three access levels. Each role sees only what they need.

Mark + 2 Admins
  • Full system access
  • Admin dashboard & map
  • Add stops to field workers
  • Invoice & compliance tools
  • CRM management
  • All reports
Team B — Listing
  • Analyzed items queue
  • Copy listing info
  • Download item photos
  • Mark items as posted
  • No field or admin access
Team A — Field
  • Daily field log
  • Stop check-ins
  • Gas fill-up logging
  • AI intake tool (fallback)
  • No admin or listing access
03
Field Worker Day

A clear, low-friction workflow that captures everything needed for mileage reimbursement, funding documentation, and operational visibility.

Step 1

Start of Day

  • Log starting odometer
  • Select or enter vehicle
  • Enter planned stops for the day
  • App generates optimized route
  • Opens in Google Maps for navigation
Step 2

During the Day

  • One-tap check-in at each stop
  • GPS + timestamp auto-captured
  • Add stop notes (what was picked up)
  • Unplanned stops added by worker or admin
  • Gas fill-up logged with receipt photo
Step 3

End of Day

  • Log ending odometer
  • Total mileage auto-calculated
  • Review full day summary
  • Submit to admin
  • Log locked after submission
04
Build Plan

Modular build — each piece works independently and connects as the system grows. No big-bang launch.

1
First
In Progress

AI Intake & Analysis Tool

The spine of the system. Photo capture, AI routing, listing generation, warehouse bay assignment, barcode output. Already underway — mobile-friendly, runs on iPad or phone.

Up Next

Auth Layer

Login system with role-based access. Every subsequent module plugs into this. Simple username/password per employee — no complexity, no maintenance burden.

3

Team B Listing Queue

Immediately unblocks the auction bottleneck. Team B gets a clean queue of analyzed items with AI copy ready to paste into AuctionWorx. Posted flag keeps the queue clean.

Field Worker Log

Start/end odometer, stop check-ins, gas fill-ups, route optimization, receipt photos. Daily submissions visible to Mark as a map with pins and mileage summary.

Phase 2

Admin Dashboard & CRM

Full reporting for Mark and admins. Map view of field operations, invoice tracking, filing deadlines. Customer and recipient management with preferences and history.

6
Future
Phase 3

AuctionWorx API Integration

Direct listing push from the intake system to RainWorx/AuctionWorx. Eliminates all manual copy-paste for Team B. Infrastructure already designed for this from day one.

05
Future Consideration — Vehicle Tracking

One potential upgrade down the road is adding GPS trackers to vehicles. The system is designed to support this without any rework if it becomes useful.

What It Adds

Continuous Vehicle Tracking

  • Live moving dot per vehicle on Mark's map
  • Mileage tracking fully automatic
  • Unplanned stops surface automatically
  • Insurance & liability documentation
How We Handle It

Hardware-Agnostic Design

  • Manual check-in system works without trackers
  • Map infrastructure supports live feeds when ready
  • GPS tracker APIs (Samsara, Verizon Connect) can plug in later
  • No rework needed — just a new data source
